The challenge
Tape2Tape organises running races and events, which means their website is doing two very different jobs. For the people turning up to race, it needs to be simple: find the event, get the details, know where to be. For the small team running the whole operation, every update to the site has to be something they can do themselves without asking for help.
Those two things are harder to balance than they sound. A site built around participants tends to end up complicated to manage. One built around the team often ends up harder to use publicly.
Beyond the website, the team were sending email updates manually. Every time a race went live or a news post went up, someone had to sit down and write an email from scratch. Over time, that adds up.
Volunteer co-ordination was the same story. Getting people signed up and in the right place involved a lot of chasing. No system, just messages and spreadsheets.
Our approach
We built the site as a custom WordPress website with a backend shaped around how the Tape2Tape team actually works day to day. Adding a race or news post takes a few minutes. No technical knowledge needed, no calling anyone for help.
On the public side, we kept the information architecture straightforward. Events are easy to find, details are where you’d expect them, and the website design doesn’t make participants work for basic information.
For email, we set up an email marketing system that reads directly from the website. When a race goes live, the email writes itself from the content already published. The team looks it over and sends. No reformatting, no starting from scratch each time.
We also gave the volunteer sign-up process an overhaul. We introduced workflow automation so applications come through a proper structured form, confirmations go out automatically, and the team has a clear record of who’s committed to what without any manual chasing.

The results
